Connect the WhatsApp Business API
LarkFlow uses Meta’s official WhatsApp Business Platform (Cloud API). This guide connects your number so LarkFlow can receive and send messages.
Choose a connection method
Open Channels in LarkFlow. There are three buttons at the top — pick one:

| Connect WhatsApp | You want the quickest setup. Meta’s signup window creates or links everything for you. Recommended. |
| Connect via Coexistence | You want to keep using the WhatsApp Business app on your phone with the same number. |
| Add manually | You already run your own Meta app and want to paste your own Cloud API credentials. |
Option A: Connect WhatsApp (recommended)
Step 1: Start the signup
In Channels, click Connect WhatsApp. A Meta window opens — allow pop-ups if your browser blocks it.
Step 2: Log in and choose your business
Sign in with the Facebook account that manages your business, then pick (or create) your Meta Business account and WhatsApp Business Account.
Step 3: Add and verify your number
Enter your phone number and display name, then confirm the code Meta sends by SMS or voice call.
Step 4: Finish
When the window closes you’ll see WhatsApp connected! and the number appears in your channel list as Active. The webhook is set up automatically.
If you see Signup incomplete, the Meta window was closed early — click Connect WhatsApp again.
Option B: Connect via Coexistence
Coexistence lets the same number work in the WhatsApp Business app and in LarkFlow.
Step 1: Update the app
Make sure the WhatsApp Business app on your phone is up to date.
Step 2: Start Coexistence
Click Connect via Coexistence and follow the Meta window. When asked, scan the QR code / confirm the link from the WhatsApp Business app on your phone.
Step 3: Confirm
The channel shows a Coexistence badge in the list once it’s linked.
Option C: Add manually (your own Meta app)
Use this if you manage your own app in Meta for Developers.
Step 1: Create a Meta app with WhatsApp
In developers.facebook.com → My Apps → Create app, choose the Business type, then add the WhatsApp product and link your Meta Business account.
Step 2: Add your phone number
In the app, go to WhatsApp → API Setup, add your business number and verify it.
Step 3: Create a permanent access token
In Business Settings → Users → System users, add a system user (Admin), assign it your app and WhatsApp account, then Generate new token with the
whatsapp_business_messagingandwhatsapp_business_managementpermissions and expiry Never.Important: The temporary token shown on the API Setup page expires after 24 hours — don’t use it here, or messages will stop the next day.Step 4: Fill in the form in LarkFlow
Click Add manually and complete the fields:
Field in LarkFlow Where to find it Channel name Any name for your team, e.g. “Main Support Line”. Phone number Your number with country code, e.g. +971 50 123 4567. Phone Number ID Meta app → WhatsApp → API Setup (under the “From” number). WhatsApp Business Account ID Meta app → WhatsApp → API Setup, or Business Settings → Accounts → WhatsApp accounts. Permanent Access Token The system-user token from step 3 (starts with EAA…). Meta App ID (optional) Meta app → App settings → Basic. App Secret (optional) Meta app → App settings → Basic → App secret. Recommended: LarkFlow then verifies every inbound webhook is really from Meta. Click save — you’ll see Channel connected.
Configure the webhook (manual method)
Meta sends incoming messages to LarkFlow through a webhook. The signup and Coexistence methods do this for you; for Add manually you set it once in your Meta app.
Step 1: Copy the values from LarkFlow
In Channels, the Meta Webhook Configuration box shows your Callback URL and Verify Token. Use the copy buttons.
The Callback URL is

In your Meta app go to WhatsApp → Configuration → Webhook → Edit, paste both values and click Verify and save.
Step 3: Subscribe to the right fields
Under Webhook fields, subscribe to
messagesandmessage_template_status_update.Step 4: Subscribe the number in LarkFlow
Back in Channels, click Subscribe all channels (or use the channel’s menu) so Meta sends that number’s messages to LarkFlow.
Check it works
Step 1: Test the webhook
Click Test webhook. You should see Webhook verified.
Step 2: Send a real message
From another phone, send a WhatsApp message to your business number. It should appear in Inbox within a few seconds.
Step 3: Reply from LarkFlow
Reply from the Inbox. Free-form replies work within 24 hours of the customer’s last message; after that, Meta requires an approved template (see Templates).
Troubleshooting
- “Webhook unreachable” or “Webhook test failed”
- Check the Callback URL and Verify Token in Meta match LarkFlow exactly, with no trailing spaces, then click Verify and save in Meta again.
- Messages don’t arrive in the Inbox
- Make sure the
messagesfield is subscribed in Meta and click Subscribe all channels. Check the channel is Active, not Paused. - Sending stopped after a day
- You probably used Meta’s temporary token. Edit the channel and paste a permanent system-user token.
- “Access Token is required” / “All fields except Meta App ID are required”
- Fill every field marked with * in the Add manually form.
- Can’t reply to a customer
- More than 24 hours have passed since their last message. Send an approved template to reopen the conversation.
